One quoting tool became the system that runs the whole business
How a simple new business tracker for Opex Logistics evolved over five years into a complete operational platform managing everything from the first quote to the final invoice and eliminating manual processes at every step along the way.

The Starting Point
A growing logistics business with one specific problem
When Opex Logistics first came to us, they were not looking for a complete business platform. They had one clear pain point: managing quotes and tracking new business. Leads came in by phone and email, quotes were put together in Word documents and spreadsheets, and follow-ups relied on memory and sticky notes. Opportunities were slipping through the cracks.
Like many growing businesses, the rest of the operation was held together by spreadsheets, paper forms, and manual processes. Driver allocation was done on whiteboards. Timesheets were filled out on paper. Invoicing meant cross-referencing multiple sources to figure out what to charge. It worked until it did not.
⚠️ Quotes were managed in spreadsheets and Word documents with no central tracking
⚠️ No visibility on the sales pipeline and what was active at any given time
⚠️ Driver and subcontractor allocation relied on whiteboards and phone calls
⚠️ No real-time vehicle tracking so office teams could not see live job status
⚠️ Paper timesheets were error-prone and created a weekly payroll headache
⚠️ Invoicing required manual reconciliation across multiple sources
⚠️ Subcontractor purchase invoices were reconciled by hand, slowly and inaccurately
⚠️ As the business grew, every new job multiplied admin burden rather than revenue
"We built the first version to solve one problem, quoting. But once the team saw what was possible, they started asking ‘could the system do this too?’ That question kept getting asked for five years."
The Evolution
Solving one problem at a time, for five years
This was not a big-bang project. We started with the most urgent problem quoting and new business tracking then built outward as the team saw value and identified the next bottleneck. Each phase solved a real pain point. Over five years, those incremental improvements added up to a platform that runs the entire business.

"The guiding principle throughout has been simple: if a computer can do it, a person should not have to. Every time we found someone manually entering data, cross-referencing a spreadsheet, or chasing information by phone that became the next thing to automate. The people are freed up to do what they are actually good at: building relationships, solving problems, and growing the business."
The Results
What five years of incremental improvement looks like
The impact was not one single dramatic before-and-after. It compounded over time. Each module that replaced manual work freed up time, reduced errors, and improved visibility.
✓ Complete end-to-end visibility from first quote to final invoice
✓ Human error systematically eliminated at each handoff point
✓ Manual data entry replaced with automated data flow between modules
✓ Drivers have what they need on mobile without paperwork or status calls
✓ Invoicing is faster and more accurate from real job data
✓ Payroll moved from reconciliation-heavy to streamlined and auditable
✓ Subcontractor costs are matched automatically, protecting margins
✓ Real-time operational visibility the business never had before
✓ The team spends more time on high-value work, less on admin
✓ The business can scale work volume without proportional overhead growth

Key Takeaway
You do not have to solve everything at once
Opex did not start by building a complete platform in one go. They started with one problem quoting and expanded as each phase proved value.
This is how we work: start with the biggest pain, deliver value quickly, then scale the system as the business evolves.
